A Project Administrator provides administrative support to the project team. Responsibilities include recordkeeping, scheduling, resource coordination and back checking.

Primary Duties:
• Proficient in providing effective organizational skills and critical thinking ability to support project team with all functions of daily office activities
• Facilitate project efficiency by maintaining data, assisting with record maintenance, including:
o Daily reports
o New projects set up
o Addendums
o RFI’s (Request for Information)
o ASI’s (Architects Supplemental Information)
o Shop drawings
o Submittals
o Dropbox folder updates
o Closeout Documents
• Issue commodity purchase orders
• Track status of rental equipment
• Track status of orders and deliveries including reconciliation of deliveries and backorders
• Maintain efficient coordination of field and office activities for assigned projects, including material ordering/tracking/delivery, rental equipment, onsite storage, and travel arrangements.
• Present factual information, compose memorandum, reports, and supporting documents.
• Plan and carry out recurring work using established procedures, conferring with supervisor or higher-level specialists as necessary on technical problems.

• Extremely proficient with structured planning, organizational skills and data management
• Proficient in the use of Microsoft Windows management of electronic files and folders
• Proficient in the use of Microsoft Office software including Word, Excel, Outlook, etc.
• Proficient in the use of cloud-based storage and sharing, such as DropBox
• Knowledge of business English, proper spelling, grammar, punctuation, and excellent arithmetic skills
• Ability to communicate, read, and write clearly in Basic English.
• Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels
• Ability to follow instructions in verbal and written format
• Ability to demonstrate moral character, honesty, tact, fairness, lack of prejudice and desire to help when dealing with people
• Ability to analyze situations and adopt appropriate courses of action

Education, Certificates, Licenses, Registrations:
• High School Diploma and 2 years (60 credit hours) college education
• 2 or more years of experience in office administration
• Proficiency in MS Office programs
• Bachelor’s Degree preferred

Working Conditions:
• Workdays may be flexible depending on workload. Normal days are Monday-Friday
• Work hours may be flexible. A 30-hour work week is allowed for this position
• 1 hour of Unpaid Time for Lunch is recommended
• Normal office hours are Start Time is 8:00 AM, End Time is 5:00 PM
